1. Introduction
We take the privacy of our members personal data very seriously and take reasonable care to comply with the requirements of the UK Data Protection Act 1998 (‘the Act’) relating to the personal information you supply to be a member of the UHC and with the General Data Protection Regulation (GDPR) that applies from 25th May 2018.
The data controller is the UHC at the above address.
2. Your Personal Data
The types of information we collect for your membership is described below. By becoming a member of the UHC you consent to the collection and use of any personal information in the manner described.
The "Information" we gather will include your name, Hebrew name, date of birth, date of marriage, marital status, address, telephone, email, yahrzeit dates and other personal information which you submit to us as well as email history and details of your membership finances, burial subscription and any other financial data.
This includes Information about your children under the age of 21 who are members..
As part of your membership you will be on our mailing list and we may send you by post or email, letters, newsletters, invoices or other communications from time to time.
We use the Information we collect from you to keep you informed about events and activities. Should you not wish to receive this Information you can opt out of receiving general information, newsletters, etc by emailing the UHC secretary - secretary@uhc-newcastle.org.
As part of your membership we may use the Information to draw up and circulate lists of names towards fulfilment of the objectives of the UHC to efficiently administrate the Synagogue and communicate with members. This may include wardens lists, yahrzeit lists, security rotas, kiddush rotas, general membership lists, etc. Should you specifically wish for your name not to be disclosed on these lists, please contact the UHC secretary - secretary@uhc-newcastle.org.
The UHC does not share data with outside bodies or other organisations. As such we undertake not to distribute or disclose your Information without your consent unless required to do so by law.

3. Updating your Information and Retention
If any of your Information is inaccurate or if it changes, please notify the UHC secretary - secretary@uhc-newcastle.org.
We will retain personal Information for the legally required period (7 years for Charity Commission requirements and HM Revenue and Customs) and otherwise only so long as it serves to support your membership of the UHC.
On termination of membership or on a member’s death, the Information will be retained for the periods required (as stated above).
4. Access to personal data
You have the right to obtain:
- confirmation that your data is being used access to your personal data held
The Information will be provided free of charge except where excessive, repeated or duplicaterequests are made. In such a case a fee to cover the costs of administration will be made.
The Information will generally be provided electronically within one month of the request. Such Information may only be requested and provided for oneself.
5. Internet and Data Storage
The UHC may from time to time develop its own website and may provide links to other websites. Before you supply any personal information to any other website, we recommend that you check the website’s Data Privacy Policy.We do not accept responsibility for the protection of any data supplied to other sites even those connected via links.
The UHC may use cookies to give you a better experience and to monitor how you are using the website. You may refuse to accept cookies by activating the setting on your browser which allows you to refuse the setting of cookies, but if you do so, parts of the website may not work correctly and screens may take longer to open.
Please be warned that no data transmissions over the Internet (including email) can be guaranteed to be 100% secure, and the UHC cannot take responsibility for any unauthorised access or loss of personal data that is beyond our reasonable control.
6. Complaints
When we receive a complaint from a person we make up a file containing the details of the complaint. This normally contains the identity of the complainant and any other individuals involved in the complaint. The complaint will be allocated to the President of the UHC or his appointed deputy to investigate.

We may have to disclose the complainant’s identity to whoever the complaint is about. This is inevitable where, for example, the accuracy of a person’s record is in dispute. It may not be possible to handle a complaint on an anonymous basis.
We will keep personal Information contained in complaint files in line with our retention policy.
7. Data breach
In case of a personal data breach that is likely to result in a risk to people’s rights and freedoms, the UHC will report this to the Information Commissioner’s Office (ICO) as soon as practicable.
High risk situations would be where there is the potential of people suffering significant detrimental effect such as discrimination, damage to reputation, financial loss, or any other significant economic or social disadvantage. We will need to notify the relevant supervisory authority about a loss of personal details where the breach leaves individuals open to identity theft.
A breach notification must contain the nature of the personal data breach including, where possible:
- the categories and approximate number of individuals concerned
- the categories and approximate number of personal data records concerned
- the name and contact details of the contact point at the UHC where more information can beobtained
- a description of the likely or possible consequences of the personal data breach
- a description of the measures taken, or proposed to deal with the personal data breach andwhere appropriate, of the measures taken to mitigate any possible adverse effects.
8. COOKIES

9. Changes
Our Data Privacy Policy will be reviewed and may be changed from time to time. In this case, the amended version will be displayed on the UHC notice boards. An up to date copy may be requested at any time from the UHC secretary - secretary@uhc-newcastle.org
